Who we are

Leeds Gig Guide (leedsgigguide.com) is a free, non-profit guide to live music in Leeds. It is run by Not a thing. CIC, a community interest company registered in England and Wales (company number 15685867, registered office 176 Netheroyd Hill Road, Huddersfield HD2 2LZ). Not a thing. CIC is the data controller for the personal information described on this page.

The short version

• We publish gig listings, and pages about the artists, venues and promoters behind them, using information that is already public. If you are one of them and want something changed or removed, email us and we will do it.
• If you create an account to look after your page, we store your email address and a record of the changes you make.
• We use Google Analytics to see which pages and links are used. We do not sell information about anyone, and we do not show adverts.

Information about artists, venues and promoters

To run the guide we collect details of gigs in and around Leeds, and of the people and places connected to them. Most of this is information that performers, venues and promoters have published to advertise their own events.

Where it comes from: venue, promoter and artist websites; ticket sellers such as Dice, Skiddle, Eventbrite, See Tickets and Resident Advisor; public Instagram accounts; posters and press releases; sign-up forms that acts have filled in for Not a thing. or for partner promoters; and details sent to us directly by venues, promoters, artists and readers.

What we hold: act names and, where an act performs under a personal name, that name; hometown; short biographies; links to public social media and music pages; posters, profile pictures and venue logos; and which gigs an act is playing, where and when. For promoters and venues we hold the business details they publish: name, address, contact details and links.

How we handle it: we use automated tools, including AI models, to read gig details out of posters and web pages. A member of our team checks every listing before it is published. Listings, venue pages, artist pages and promoter pages are public, so anyone can read them, including search engines and AI crawlers. We also reuse listings and posters in our own social media posts and in the monthly guide images we publish.

Why we are allowed to: UK data protection law lets us process this information because we have a legitimate interest in running a free public guide to live music, the information is already public, and publishing it is what the people concerned put it out for. We do not publish private contact details, and we do not publish anything about people who are not performing at, promoting or hosting a gig.

Your choices: if you are an artist, promoter or venue, you can claim your page (the “This is my…” link on it) and edit it yourself, or email us to have anything corrected or removed, including the whole page. We normally act within a few days and always within a month.

Information from visitors

Server logs. Our hosting provider keeps standard web server logs (your IP address, browser type and the pages you request) for a short time so we can keep the site secure and fix faults.

Google Analytics. We use Google Analytics 4 to see which pages are read and which ticket links and sample tracks are clicked, so we know what is useful. It sets cookies (named _ga and _ga_…) that give your browser a random ID. Google Analytics 4 does not store your IP address. You can block these cookies in your browser or with Google’s opt-out add-on, and the site works the same.

Sample tracks and embedded players. Artist and gig pages can play sample tracks. When you play a track, the audio or video comes from Bandcamp, SoundCloud or YouTube, and those services see your IP address and may set their own cookies under their own privacy policies.

The venues map uses map tiles from OpenStreetMap, which sees your IP address when the map loads.

Ticket and outbound links take you to other websites (ticket sellers, venues, social media). Their privacy policies apply once you are there. We do not sell tickets and do not see what you buy.

Accounts: page owners and our team

You only need an account if you look after a venue, act or promoter page, or you are part of our team. Registration is otherwise closed.

What we store: your email address and name; your password, which is held by Clerk, our sign-in provider, and which we never see; if you sign in with Google, the name, email address and profile picture Google shares with us; the claim record for your page (which page, the code we sent you, the Instagram account or email address you confirmed it from, and any notes our team added); and a log of every change you make to your page: what changed, from what, to what, and when.

Why: to provide the account you asked for, to keep the guide accurate, and to stop people taking over pages that are not theirs. The edit log lets us undo mistakes.

Emails: Clerk sends sign-in codes and password resets from [email protected]. We do not send newsletters from this site.

How long: for as long as your account exists. Claim records and the edit log stay for as long as the page exists, so we can trace who changed what. Email us to close your account; we will remove it and your ownership of any page.

Messages you send us

If you email [email protected] or message @leeds.gig.guide on Instagram, we keep the conversation for as long as we need it to deal with your request. Email is handled through Google Workspace; Instagram messages stay on Instagram.

Who else handles the information

We use these companies to run the site. They process information on our instructions and under their own security commitments:

• Railway hosts the site and its database, on servers in the Netherlands.
• Cloudflare carries the site’s traffic, protects it from attacks and stores the images we publish (posters, logos, profile pictures).
• Clerk provides accounts and sign-in.
• Google provides Google Analytics, Google sign-in and our email.
• Meta runs Instagram, where we read public posts and receive messages.

These are US companies and some of them store data in the United States. Where information leaves the UK we rely on the UK’s adequacy arrangements for the EU and on the providers’ standard contractual terms for other countries. We do not sell personal information and we do not show adverts.

Cookies and browser storage

• Sign-in cookies from Clerk (__session and __client_uat) keep you signed in. They are only set when you sign in.
• Analytics cookies from Google Analytics (_ga and _ga_…), described above.
• Security: Cloudflare may set a cookie that tells real visitors from automated traffic.
• Your settings: your light or dark theme choice, and the page you came from (so back links work), are kept in your browser’s own storage and are never sent to us.
• Players: YouTube and SoundCloud may set cookies when you play a track.

You can delete or block cookies in your browser settings. Blocking them will sign you out and stop analytics; the rest of the site works as normal.

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct or delete it, ask us to stop or limit how we use it, object to our use of it, and ask for a copy in a form you can take elsewhere. Email [email protected] and we will reply within a month. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Children

The site is for everyone who goes to gigs, but accounts are for people aged 16 or over. We do not knowingly collect information about children beyond the public details of acts who perform.

Changes

If we change this policy we will update this page and the date at the top. Our Terms of Service are on a separate page.
